A common question I hear during my presentations on time management is: How do you handle situations where you've dedicated time blocks for focused work, but your boss or coworker interrupts with questions or requests?

This question underscores the significance of cultivating open and honest communication with those we work alongside, whether we are the boss or an employee. It's normal for these conversations to feel uncomfortable, and that's where vulnerability comes into play. By engaging in mindfulness practices, we can become more aware of our thoughts, feelings, and beliefs, allowing us to embrace vulnerability and navigate these conversations with authenticity and courage.

Let's explore how we can initiate conversations with our boss or coworkers about managing distractions and staying productive and how being open and honest about our time can create a more supportive and understanding workplace environment.

First of all, you don't have to do this alone. If you have a group of like-minded coworkers, you could do it together. And if you do it as a group, plan to amplify and support each other. Collectively addressing time management concerns can help create a more unified work environment that supports productivity.

Amplification is all about validating and supporting your colleagues' ideas and concerns. When you amplify each other, you create a sense of solidarity and strengthen the message you are trying to convey. This collaborative approach can help you feel more empowered and confident when discussing time management with your boss.

Also, consider using active listening strategies to bring your concerns to your boss—think of open-ended questions like:

  • How can I better manage interoffice communications?

  • How would you like me to respond to your instant messages? Do you need me to answer as soon as you send it? Or do I have the freedom to answer it at another time?

  • How would you like me to communicate when I'm trying to limit distractions?

It's important to have these conversations because your boss also wants you to be productive. Sure, we have to go with standard operating procedures but try to work with them and be collaborative about the conversations.

Now, if you are the boss or the manager, as a leader, being transparent about how you handle your own time, and boundaries can help you lead by example. We often get caught up in what we are supposed to be as a boss or manager, but people can tell when we don't lead with our authentic selves. This can feel scary as we peel back the mask and lead with more authenticity, but when we bring our authentic selves to work, we make better connections and relationships.

So don't hide who you are or how you organize your schedule. If you take a yoga class at lunch, put it on your calendar! Show what you are doing during your day and how you are balancing work and personal life. Don't be afraid to block time for yourself and let your employees know you are doing it. You can lead by example and give permission for your employees to strike that balance as well.

As a leader, it's crucial to establish an environment where everyone feels heard and understood. Encourage your team to experiment with different techniques to boost productivity and minimize distractions. Share your own experiences and challenges, and create an atmosphere where employees feel comfortable discussing their time management needs.
